Job Title: Senior Executive HR & Admin Department: Administration Location: [Noida, UP] Reporting To: Office Manager / Managing Partner Employment Type: Full-Time Position Overview: We are seeking a reliable and detail-oriented team member to support the day-to-day operations of our law firm. The ideal candidate will be responsible for managing office tasks, assisting legal staff, handling recruitment coordination, maintaining personnel and legal records, and ensuring overall administrative efficiency in compliance with professional standards. Key Responsibilities: 1. Office Administration Manage front-desk operations, telephone calls, visitors, and client communication. Maintain office supplies and coordinate with vendors for procurement and maintenance contracts. Ensure overall cleanliness, facility upkeep, and health & safety compliance. 2. Documentation & Filing Maintain both physical and digital filing systems for legal case files, contracts, and client records. Index documents for easy retrieval and handle scanning, notarization, and dispatches as required. Ensure safe and confidential storage of sensitive legal and client materials. 3. Legal & Operational Support Schedule client meetings, court dates, and internal appointments for legal teams. Coordinate timely submissions for court filings, affidavits, and other legal documents. Liaise with external counsels, government departments, and registry offices when needed. 4. Calendar & Travel Management Maintain appointment calendars for partners and associates. Organize travel, accommodation, and logistics for outstation hearings or client visits. 5. Finance & Compliance Support Assist in processing bills, reimbursements, and petty cash reconciliation with the accounts team. Track renewals and compliance deadlines for firm registrations, licenses, and Bar Council records. 6. Recruitment Support & Personnel Records Coordinate hiring logistics such as posting jobs, scheduling interviews, and communicating with candidates. Maintain up-to-date personnel files, including onboarding documentation, ID proof, educational records, and policy acknowledgments. Track employee leave, attendance records, and coordinate with external HR/payroll consultants if applicable. Qualifications: Bachelors degree in any discipline (Commerce, Arts, or Law preferred).
