Job Description

1.Create and manage documentation in electronic and hard copy formats

2.Assist with program planning and development

3.Indicate rule position and provide advanced office support, plan and organize administrative operations

4.Prepare required reports, arrange travel for staff, assemble material for meetings and order supplies

5.Develop spreadsheets and reports to track budgets and expenditures

6. Provide formatting and editing for reports, proposals and presentations

7.Maintain departmental calendar and schedule meetings

8. Maintain accounting records, assure generally accepted accounting principles, and internal controls

9.Type correspondence, reports and other documents

10.Coordinate repairs to office equipment

11. Prepare documents and reports on the computer

12.Prepare agendas for meeting.

13.Answer phones

14.Direct calls and respond to inquiries

15.Screen telephone and personal callers

16.Make and record appointments

16.Operate office equipment such as photocopiers, fax machines, scanner, switchboards and computers

17.File correspondence and other records

18.Receive and process incoming and outgoing mail

19.Any other job directed from time to time.

20.Processing invoices against issue of material

21.Prepare gate passes against receipt and issue of consumables, stationery items, office equipment and miscellaneous items.

22. Inventory Management.

23.Drafting of letters and report.

24.Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions

25.Use computers for various applications, such as database management or word processing.

26.Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
