Job Description
The We Foundation is a nonprofit organization dedicated to improving the lives of marginalized communities through initiatives in health, education, livelihood, and environmental sustainability. We operate across several states in India, striving to create lasting, positive change. We are seeking a dynamic and organized female Receptionist cum Administrative Assistant who will be the first point of contact for visitors and will handle various administrative tasks to support the day-to-day operations of our office in Kolkata. The ideal candidate will have excellent communication skills, a welcoming demeanor, and the ability to multitask efficiently. Responsibilities include: Front Desk Management: - Greet and welcome visitors with a positive, helpful attitude. - Manage the reception area to ensure it is clean, organized, and professional. - Answer and direct incoming phone calls, and handle inquiries. - Maintain visitor logs and manage access to the office. Administrative Support: - Provide administrative assistance to various departments as needed. - Manage correspondence, including emails, letters, and packages. - Organize and schedule meetings, appointments, and travel arrangements. - Maintain office supplies inventory and order necessary items. - Assist in preparing reports, presentations, and other documentation. Communication: - Act as a point of contact between staff and external stakeholders. - Draft, proofread, and edit documents and communications. - Ensure effective communication within the office and with external contacts. Data Management: - Maintain accurate records and databases, including employee files and contact lists. - Assist with data entry and the management of office systems. Event Coordination: - Assist in planning and coordinating events, workshops, and meetings. - Handle logistics for both in-house and external events. Qualifications and Skills: - Education: Bachelors degree preferred. - Experience: 0-1 year of experience in a similar role. - Language: Proficiency in English, Bengali, and Hindi is essential. - Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint), familiarity with office equipment, basic understanding of CRM systems. - Soft Skills: Strong interpersonal and communication skills, excellent organizational and multitasking abilities, friendly and approachable demeanor, ability to work independently and within a team. Work Environment: - Location: Kolkata, West Bengal. - Working hours: Monday to Saturday, 10:00 AM to 6:30 PM, with occasional flexibility required for events or special meetings.
